Job Description:
Manage the daily internal and external communication of the company’s senior management and organize and implement the work schedule.
Competencies:
- Graduate from Business Administration departments of universities or from Secretarial and Office Management, Office Management and Administrative Assistant, Public Administration or Public Relations departments of vocational schools.
- Have at least 2 years proven experience as an Executive Secretary or similar role
- No impediment to employment at the company’s Istanbul office and residing in Istanbul.
- Ability to use English effectively at CEFR C1 level.
- Proficient in Microsoft Applications (Word, Excel, PowerPoint, Outlook etc.).
- Ability to communicate effectively and manage tasks in an organized manner.
- Ability to write reports and communicate effectively with managers.
- Ability to perform tasks carefully and diligently, paying attention to detail.
- Possessing the principle of working reliably and protecting sensitive information.
- Ability to generate effective solutions to encountered problems and make sound decisions.
- Ability to use necessary computer programs and office applications efficiently.
- Ability to perform different tasks simultaneously and adapt to changing situations.
- Exhibiting respectful, courteous and professional behaviour in the workplace.
Responsibilities, Duties and Authorizations:
- Organize and ensure the implementation of the daily and weekly work schedule determined by the manager.
- Manage the manager’s domestic and international phone traffic.
- Communicate all information received through communication channels to the manager.
- Organize appointment traffic, welcome incoming guests.
- Ensure the secure storage and archiving of digital data on the company server.
- Classify and save all correspondence received by mail or fax and distribute these correspondences among units when necessary.
- Duplicate and distribute these correspondences when needed.
- Send meeting agendas by email to relevant parties.
- Ensure the physical preparation of the meeting room and check the necessary materials.
